Reeves: an admin agent that turns one forward into finished paperwork

53Alpha14 Oct 2026 · 3 min read

Admin rarely arrives in one place. An invoice comes by email, a receipt is a crumpled slip in a wallet, a booking confirmation is buried in an inbox. Each one needs reading, naming, filing, entering into the accounts and often a reminder. None of it is difficult. All of it takes time.

Reeves is our executive admin agent. Forward an email, drag in a file or photograph a receipt, and Reeves reads it, files it and proposes the next steps across the tools you already use. You approve; Reeves executes.

Reeves, the Inbox

One document in. Everything else handled.

Capture. Three ways in, whichever is quickest: forward an email to your private Reeves address, drag and drop a file, or photograph it in the app.

Read. Reeves reads the document with AI, extracts the vendor, date, amount, reference and type, classifies it and gives it a clean, consistent filename, so the whole archive follows the same logic.

Sort. Every document lands in the Vault, the single source of truth, and is routed into the lane it belongs to: invoices and receipts, travel itineraries, orders, refunds and credits, or recurring bills.

Propose. Reeves proposes coordinated next steps across your tools: file it to Drive, add the dates to Calendar, create a task in Todoist, log it in Notion, post it to Xero. Nothing is posted until you approve, and everything posted keeps a link back to the source document.

Report. Because every document is captured and structured, the picture builds itself: spend per card, spend per workspace, recurring bills and what is payable next, with totals converted across currencies.

What it looks like on a Tuesday morning

A supplier invoice arrives by email. You forward it to Reeves. It reads the vendor, the amount and the due date, and renames the file to the house standard. It is filed to Drive, tracked under recurring bills, and given a pay-by reminder in Todoist. In Xero, the bill is created with the supplier, account and tax filled in and the original attached, ready for one-click reconciliation.

You looked at one card in the Inbox and pressed approve.

You only ever approve. Reeves never acts without consent.

Built to hold as little as possible

Reeves handles passports, medical letters and financial records, so it is designed to keep as little as it can. Documents are read to extract what matters, acted on, and then deleted from Reeves's servers. They are filed to your own Drive, Notion and tools, and Reeves keeps only a reference to your copy, never the document itself.

You stay in control: disconnect any tool at any time, and if you close your account, your filed documents stay exactly where they are.

Who uses it

Reeves runs the books of three of our own companies every day. It replaced manual document handling and reconciliation in Xero, and a third-party capture subscription we no longer pay for.

Workspaces keep business and personal admin apart, and route each document to the right one automatically, which suits freelancers and sole traders, small business owners, landlords with several properties, frequent travellers and busy households alike. The mobile app is available on Android, with iOS coming, and early-access invitations are opening soon at reeves.so.

What it shows about our client work

Finance and back-office automation, designed by a qualified accountant and run on our own books. In the product, Claude reads each document and proposes the Xero entry for a person to approve.

When we build the back-office part of your software, we design it as people who have done the job by hand, and who know exactly which steps a person must still approve.
